This Privacy Policy explains how VK Apps (“we”, “us”) collects, uses, stores, and shares information when you visit https://vthrones.com, use the Sri Vekkali Amman Xerox and Computers counter software, or receive messages from our WhatsApp Business number on WhatsApp Cloud API. It is written for Meta / WhatsApp Business review and for customers of Sri Vekkali Amman Xerox and Computers.

1. Who we are

VK Apps operates the WhatsApp Cloud API number and the billing software hosted at https://vthrones.com. The shop that serves customers in person is Sri Vekkali Amman Xerox and Computers (ஸ்ரீ வெக்காளி அம்மன் ஜெராக்ஸ் & கம்பியூட்டர்ஸ்), No. 23, Paruppukara Street, Palkarai, Trichy-1.

2. Scope

This policy covers: (a) the public website and staff login; (b) customer, invoice, payment, and job records for Sri Vekkali Amman Xerox and Computers; (c) WhatsApp Cloud API messages, templates, media, and delivery webhooks from Meta; (d) optional online payments through Razorpay. It does not cover Meta’s own processing of WhatsApp, which is described in WhatsApp’s privacy policy.

3. Information we collect

Depending on how you deal with the shop, we may process:

  • Identity and contact: name, mobile number, WhatsApp number, email if you give one, and postal details if needed for a job.
  • Billing: services requested (xerox, print, scan, EB bill payment, government or online applications, and similar counter work), invoice numbers, amounts charged, pass-through amounts paid to third parties (for example an electricity board bill), payment method, and outstanding balance.
  • WhatsApp: the phone number we message, template contents (such as customer name and invoice summary), optional invoice PDF, message identifiers, delivery and read status, and any reply you send to the business number.
  • Staff accounts: username, password hash, role, and sign-in metadata needed to run the counter.
  • Technical: server logs, IP address, browser type, and security events on the website and API.
  • Payments: Razorpay payment identifiers and capture status. We do not store card PAN, CVV, PIN, or OTP.

4. WhatsApp Cloud API

We use Meta’s WhatsApp Cloud API to send service messages about bills, receipts, and job status, and to receive customer replies. Messages are sent only for a transaction or job you asked the shop to handle, or when you message the business first.

  • Phone numbers used for WhatsApp come from the number you give at the counter, the customer record, or the number you use to message us.
  • Within Meta’s customer-care window we may send session messages (including a PDF of the invoice). Outside that window we use Meta-approved templates.
  • Meta processes those messages as the WhatsApp service provider. Meta’s terms and WhatsApp’s privacy policy apply in addition to this policy.
  • We do not use WhatsApp contacts to send unrelated marketing. We do not sell phone numbers.
  • You can ask the counter to stop WhatsApp messages. Reply STOP or tell the staff. We will mark the number so routine bill messages are not sent. Transactional records in the billing system may still be kept as required for the shop’s accounts.

5. How we use information

  • To prepare invoices, collect payment, pay pass-through amounts (such as EB) on your behalf, and keep the cash drawer (kallapetti) separate from UPI or card collections.
  • To send WhatsApp receipts and job updates, and to match delivery callbacks from Meta.
  • To let authorised staff sign in, print, and search bills.
  • To secure the service, prevent abuse, and comply with Indian law.
  • To improve reliability of the counter software. We do not use customer WhatsApp chats to train public AI models.

7. Who we share information with

  • Meta Platforms Ireland / WhatsApp: to deliver Cloud API messages and receive status webhooks.
  • Razorpay: when you pay by UPI or card through the shop’s checkout. Gateway fees are the shop’s operating expense, not a customer pass-through.
  • Hosting: the application and database run on a Hostinger server used by VK Apps.
  • Government or utility portals: only the details needed when you ask us to pay an EB bill or submit an application on your behalf.
  • Law enforcement or regulators: if Indian law requires it.

We do not sell personal information. Staff see customer data only as needed to run the counter.

8. Retention

Completed invoices are kept as an audit record and are not edited in place. WhatsApp message metadata is kept to show delivery status and to handle replies. We keep data as long as needed for the shop’s accounting, dispute handling, and legal obligations, then delete or anonymise it where feasible.

9. Security

Access to the billing app requires a staff login. WhatsApp tokens, payment secrets, and JWT secrets stay on the server and are not placed in the public website. Traffic to the production site uses HTTPS. No method of transmission is perfectly secure; we take reasonable technical and organisational measures appropriate for a small shop system.

10. Your rights

You may ask to access, correct, or delete personal data we hold, or to stop WhatsApp messages, subject to records we must keep for completed bills. Contact Sri Vekkali Amman Xerox and Computers by phone or in person, or write to VK Apps at the Chennai address above. We will need enough detail to identify the customer record.

11. Children

The website and WhatsApp number are for shop customers and staff. We do not knowingly collect data from children to create marketing profiles. A parent or guardian should contact us if they believe we have a child’s data that should be removed.

12. International processing

WhatsApp / Meta may process message data on servers outside India. Razorpay may process payment data according to its own terms. Our application database is hosted for VK Apps in connection with this website.

13. Changes

We will post updates on this page and change the “last updated” date. Continued use of the website, counter software, or WhatsApp number after a change means you accept the updated policy. This version is dated 18 September 2026.
